How Much Does AI Training Cost a Business in 2026?
Ever wonder how companies choose the right AI training for their employees?
Truth is, there’s a lot of learning material out there, and it can be overwhelming. Every time you open your laptop, there’s a new course to buy, a contractor to hire, or another AI workshop. Meanwhile, you’re balancing your current workload while trying to figure out how to bring AI into the business... because the internet says so.
If you're comparing programs, trying to justify the price difference and watching YouTube videos thinking, “can I just do this myself?” even though your calendar is booked Monday to Friday, this is for you.
In this guide, I’ll walk you through how to choose the right AI training program for a small or mid-size company. By the end, you’ll know what each type of training includes, what it leaves out, what it costs, and which option fits your company best.
What is AI training for employees, and why does it matter?
AI training for employees teaches your team how to use AI tools like ChatGPT or Claude in their day-to-day work. It can be a short online course on the basics, or a live program where experts set up the tools with your company’s information and train each department hands‑on.
Why it matters: chances are, some of your team already uses AI on personal accounts, each in their own way. Training puts everyone on the same tools and rules, so the time saved adds up across the company and your information stays protected.
So what does it cost? Anywhere from free starter courses to ~$360 to $750 per person a year for course libraries. Live programs that set up your tools are usually quoted per project (Mana’s is $10,000 flat for up to three departments), plus ~$20 to $25 per person a month for ChatGPT or Claude.
But what do those numbers actually get you? Let’s get into it.
Standard AI training programs & how much they cost
The right program for your company depends on how organized, systemized, and motivated your team is. As with anything, the more your team practices and puts it to use, the stronger it gets, and the higher your return.
Prices depend mostly on the format: how much is live, how much is tailored to your company, and whether anyone sets up the tools and trains your team hands-on. The ranges are wide because AI training can cover very different things.
- Pre-recorded courses: Teach the basics of AI and what it can do. Everyone who buys one gets the same lessons, usually taken alone and at your own pace. There are no custom workflows or hands-on training.
- Live training: A team of experienced AI experts teaches the basics, then sets up the tools, organizes your information and workflows, and trains employees hands-on around their day-to-day work. Pricing is usually custom, based on company size, timeline and any custom work.
- Resource libraries: Both options usually come with a library of guides and resources. The difference is that live training adds resources built for your company, and pre-recorded courses don’t.

What's included vs. what isn't
When comparing quotes, confirm the key deliverables and terms in each package so you know what’s included and what isn’t. If you’re unsure, check the provider’s FAQs and service pages, or reach out to their team through the website.
Here are three things that often change the price:
1. Software licenses
Almost no training price includes the AI tool itself. Buy these in your company’s name, not on personal accounts.
Business plans keep your data out of model training by default and let an admin control who has access. Personal accounts don’t.
As of October 2026, the standard business plans cost:
| Plan | Billed annually | Billed monthly | Team size |
|---|---|---|---|
| ChatGPT Business, standard seat | $20 per user a month | $25 per user a month | 2 to 200 people |
| Claude Team, standard seat | $20 per seat a month | $25 per seat a month | 2 to 150 people |

Claude Team, standard seat$20 per seat a month

- 2 to 150 people
Both also offer premium seats at $100 a month billed annually ($125 monthly) for heavier users. Most teams start on standard seats and upgrade once they see how the team uses them.
2. Setup
Many courses and workshops teach skills but leave your team to set up the tools on their own. That can work fine for a small team or a solo operator.
Once you have 10+ employees, it’s harder to get everyone on the same page without a dedicated person or team building a process everyone follows. Without one, rollouts stall and onboarding slows down, which delays delivery.
We recommend a hands-on training team for the first 30 to 60 days, so your team feels confident using AI and keeps using it to improve how they work.
Ask whether the price includes setting up a shared team workspace, loading and organizing your company information, setting access rules, and time for your team to practice with the tools, followed by Q&A sessions.
3. Custom work
Custom AI agents, integrations with your other systems and automated workflows are almost always priced separately. That's normal, but make sure it's spelled out in the proposal. You’ll see two examples of custom work further down.
The cost people forget: your team's time
Every training option takes staff time, and it rarely shows up on the invoice. In a structured program, plan for:
- Live working sessions: Plan for 30 to 60 minutes per session to review the material and practice with the tools. Every program structures this differently, but your team will need time to learn and adapt.
- Information and workflow mapping: Before the tools are set up, leadership will need time to walk through each department’s processes and workflows, so the right information gets collected. If your information is already well organized, that can take as little as an hour per department. If it's spread across the team, plan for more.
- Practice: The learning only sticks if the team has time to use the tools during normal work hours, so that time is worth protecting. The first 30 to 60 days feel like learning any new skill, but by month three it comes naturally and teams start building on their own resources.
A look at first-year costs for a 25-person company
Here's a realistic cost example of a structured training program for a 25-person company with three departments (sales, operations and admin).
| Program Details | Cost | How It’s Calculated |
|---|---|---|
| Training program | $10,000 | One flat-price program for three departments, with 9 hours of live, hands-on sessions |
| Software, year one | $6,000 | 25 standard seats × $20 a month × 12 months, billed annually |
| Staff time | ~$500 to $750 | 9 hours of sessions plus 1 to 6 hours of preparation, at an assumed $50 an hour |
| First-year total | ~$16,500 to $16,750 | Training, software and staff time combined |

The ROI of AI training after year one
The same 25-person team could get back $60,000 a year if AI saves each person one hour a week, using the same $50 an hour and 48 working weeks a year.
At one hour a week, the team gets back ~$3.60 in time for every $1 spent in the first year. After that, the training is paid for and only the software continues, ~$6,000 a year.
Real results show what's possible when AI is built into the work. In client projects where Mana built AI workflows beyond the bootcamp, an industrial supplier saved more than 70 hours of sales admin a month on quote follow-ups (case study), and Operators Edge saved more than 60 hours a month on reporting across 50+ franchise locations (case study).
Your numbers will differ. To run your own, multiply your team size by the hours you expect each person to save each week, then by 48 weeks and your average hourly cost.
Which AI training program fits your company?
Self-paced course
Best for a few curious employees or a solo operator
Low cost, flexible, and fine for building basic skills. Don't expect the team to start working differently.
Live workshop
Best for one team with one goal
A quick start for a single department. You'll still need to set up the tools and keep momentum yourselves.
Structured program
Best for the whole company on one setup and one account
Worth it when several departments need to work from the same tools, information and rules. It costs more up front, but you get a working setup built for your company that keeps paying off in time saved.
Ongoing membership
Best if you're already set up
Keep your tools current and your team supported as AI changes month to month.
When not to pay anyone yet
If only one or two people use AI and nobody is asking for more, start with a business plan of ChatGPT or Claude and a free course. Revisit training when more of the team wants in, or when people start using personal accounts with company information.
A closer look at a structured team program
Mana's AI Bootcamp is a $10,000 one-time fee for up to three departments, delivered over 30 days, with 9 hours of live, hands-on sessions. It includes:
- 9 hours of live, hands-on training: a one-hour working session, a one-hour training session and a one-hour Q&A per department, for up to three departments
- Help choosing one company AI platform, usually ChatGPT or Claude, and setting it up with a profile for each department. We walk your team through the setup so you can manage it yourselves
- Your company information and privacy rules, organized so the AI can use them and built around your existing workflows
- Up to five agreed company skills, plus training so your team can build its own
- Lifetime access to guides, templates and training resources so you never fall behind
By the end of 30 days, your team feels confident using AI and is using what they learned to build AI solutions for their own day-to-day work, department by department, as one company.
Not ready to stop learning? Mana also offers AI Forefront, an optional monthly membership with ongoing updates, a monthly check-in, new skills and tips each month, and direct access to the team. See pricing for the full details.
FAQs from business owners looking for AI training
Can we train our team on AI for free?
Partly. Free courses, like Anthropic's AI Fluency for Small Business, and the tools' own help guides cover the basics. What these free options don't do is set up a shared workspace, organize your company information or keep the team using AI the same way. That's what paid programs are for.
How much does AI cost for a small business?
For a team of 10 to 50 people, plan for three costs: training, software and staff time. Training runs from free courses to ~$360 to $750 per person a year, or a flat program fee like Mana's $10,000 for up to three departments. Software adds ~$20 to $25 per person a month. In our 25-person example, the first year comes to ~$16,500 to $16,750.
How much does it cost to hire an AI consultant?
Like most AI training pricing, it depends on the scope. Many consultants bill hourly or quote per project and don't publish their rates, so ask for one flat price and a written scope before you compare. Training and setup are often one package, while custom AI implementation work, like agents and integrations, is usually quoted separately.
Do we need to buy ChatGPT or Claude before training?
Not before you start talking to a provider, but you'll need business plans before the training sessions. A good provider helps you choose one platform first, so you don't pay for both.
How long does AI training for employees take?
A workshop takes a few hours. A structured program usually runs ~30 days: mapping the work, setting up the tools, training, then practice and review. Mana's Bootcamp, for example, includes 9 hours of live, hands-on sessions across three departments.
Is per-person or flat pricing better?
Per-person pricing works for courses. For a program that sets up your company's tools, flat pricing with a clear scope is easier to budget, because the cost doesn't change if one more person joins a session.
What should an AI training proposal include?
The scope (which departments and how many sessions), what's set up for you, what's not included, who owns the accounts, the timeline, the final price and the payment terms.
